By accessing or using The Table Plan website, web application and related services collectively referred to as the “Service”, you acknowledge that you have read, understood and agree to be bound by these Terms.

We may update these Terms from time to time. Unless otherwise required by law, we will notify you of material changes and give you an opportunity to review them before they become effective.

Your continued use of the Service after the effective date of any updated Terms constitutes your acceptance of those updated Terms.

2. Communications

You agree that we may send you emails and other communications relating to your account, purchases and use of the Service.

Where you use the Service on behalf of a business or other organisation, you consent to our use of that organisation’s name and logo in our promotional materials unless you notify us in writing that you do not consent to such use.

3. Intellectual Property Rights

You retain all rights to the data and content you provide to the Service. We do not claim ownership of any data, information or materials you submit while using the Service.

You acknowledge that DD LABS LTD owns, or has the right to use, all rights, title and interest in and to the Service, including its software, design, branding, functionality and intellectual property rights.

You must not copy, reproduce, modify, distribute, sell, sublicense, reverse engineer, decompile, disassemble or create derivative works based on the Service or any part of it without our prior written consent.

4. Use Licence

The Table Plan may offer free and paid plans, each with different features and usage limitations, as described on our website or pricing page.

4.1 Licence Grant

When you purchase a paid plan or licence, you are granted a limited, non-exclusive, non-transferable and time-limited right to access and use the relevant features of the Service in accordance with your selected plan.

Unless otherwise stated, a licence is assigned to one individual, household, wedding, team or organisation, as applicable to the plan purchased.

Licence durations and usage limits may vary depending on the plan selected.

4.2 Offline Use

Certain plans may include the ability to access or use particular features or exported materials offline. Any offline use remains subject to these Terms.

5. Accounts, Passwords and Security

Certain parts of the Service may be available without creating an account.

Where anonymous use is available, information entered without an account may be accessible through a public or shareable link. Anonymous data may be deleted 30 days after the user’s last activity.

You are responsible for understanding the visibility and sharing settings that apply to any seating plan, guest list, room, event or project you create.

If you create an account, you are responsible for maintaining the confidentiality of your password and account information. You are responsible for all activity that takes place through your account.

You agree to notify us promptly if you become aware of any unauthorised use of your account or any other security breach.

You must not access or attempt to access an account belonging to another person without their permission.

If you delete your account or data, the relevant information will normally be flagged for deletion and removed from our active systems within 30 days and from backups within 90 days, unless we are legally required to retain it for longer.

A limited record may remain in our customer relationship management, transaction, fraud prevention or accounting systems where necessary for legal, regulatory or legitimate business purposes. You may contact our support team to request further information or deletion where applicable.

6. User Conduct and Responsibilities

You agree to use the Service in accordance with all applicable laws and regulations.

You are solely responsible for the data, names, contact details, text, images, notes, seating information and other materials that you upload, enter, share or otherwise transmit through the Service.

You must ensure that you have the necessary permission or lawful basis to provide us with any personal information relating to wedding guests, event attendees or other individuals.

6.1 Prohibited Actions

You must not use the Service to:

6.2 User Responsibilities

You are responsible for managing and reviewing the content of the seating plans, guest lists, events, rooms or projects that you create.

Where you invite other people to access, edit or contribute to a project, you are responsible for controlling their access and ensuring that the project is used appropriately.

You should avoid entering sensitive personal information into the Service unless it is genuinely necessary for your use of the Service.

6.3 Content Moderation

We are not responsible for unlawful, offensive or inappropriate content entered or shared by users.

We reserve the right to remove content or suspend or terminate access where we reasonably believe that a user has violated these Terms or applicable law.

7. Payment Terms

7.1 Free Plans

No payment information is required to use features offered under a free plan.

Free plans may be subject to limitations, including restrictions on the number of guests, seating plans, tables, collaborators, exports or features available.

We may modify or discontinue free plans or free features upon reasonable notice.

7.2 Subscription Plans

Where subscription plans are offered, subscriptions will automatically renew at the end of each billing period unless cancelled before the renewal date.

You can cancel your subscription through the Service or by contacting us. Unless otherwise stated, cancellation will take effect at the end of your current billing period.

If you are not satisfied with the Service, you may request a refund for your first subscription purchase within 30 days of purchase. Renewal payments and subsequent purchases are not eligible for refunds unless required by applicable law.

Cancelling a subscription does not automatically entitle you to a refund for amounts already paid.

7.3 One-Time Purchases

We may offer plans or features through a one-time purchase.

A one-time purchase is not a subscription and does not renew. Section 24 (Service Discontinuation) explains how long that access lasts, the notice you will receive if we ever discontinue the Service, and when a refund is available.

Unless otherwise stated, one-time purchases are subject to a 14-day refund period, provided that you have not begun using, accessing, downloading or receiving the purchased digital service or content.

Where you ask us to provide digital services or digital content immediately, you acknowledge that your cancellation rights may be affected once performance has begun, to the extent permitted by applicable consumer law.

8. Chargebacks and Refunds

Eligible refunds will be issued to the original payment method used for the purchase. We do not provide cash refunds.

If you believe that you have been charged incorrectly, please contact us before initiating a chargeback so that we have an opportunity to investigate and resolve the issue.

Nothing in these Terms prevents you from exercising any chargeback, cancellation or refund rights that you may have under applicable law.

We may suspend or terminate an account where a chargeback is fraudulent, abusive or initiated in relation to a valid charge without first making a reasonable attempt to resolve the matter with us.

9. Service Availability and Limitations

We aim to provide reliable and uninterrupted access to the Service. However, we do not guarantee that the Service will always be available, uninterrupted, secure or error-free.

The Service may occasionally be unavailable because of maintenance, updates, technical issues, third-party service failures or circumstances outside our reasonable control.

We may change, update, suspend, withdraw or restrict the availability of all or part of the Service for operational, security, legal or commercial reasons.

We will take reasonable steps to minimise disruption where possible but do not guarantee any particular level of uptime unless we have entered into a separate written service-level agreement with you.

10. Accuracy of Seating Plans and User Decisions

The Service is provided as a planning and organisational tool.

You are responsible for checking the accuracy of all guest information, table assignments, venue layouts, accessibility requirements, dietary notes and exported seating plans before relying on or distributing them.

We do not guarantee that a seating arrangement generated, suggested or displayed through the Service will be suitable for your wedding, venue, guests or event.

Any automated recommendations, layouts or suggestions provided through the Service are provided for general assistance only. Final decisions remain your responsibility.

You should confirm final seating arrangements and venue requirements directly with your venue, wedding planner, caterer and other relevant suppliers.

11. Third-Party Services

The Service may integrate with or contain links to third-party websites, payment processors, hosting providers, analytics services or other platforms.

We do not control and are not responsible for the availability, content, security, privacy practices or performance of third-party services.

Your use of third-party services may be subject to separate terms and policies imposed by the relevant third party.

12. Liability

The Service and all content provided through it are offered on an “as is” and “as available” basis.

To the fullest extent permitted by law, we exclude all warranties, representations and conditions, whether express or implied, including implied warranties or conditions relating to satisfactory quality, fitness for a particular purpose, availability and non-infringement.

We do not exclude or limit liability where it would be unlawful to do so. This includes liability for:

Subject to the above, DD LABS LTD and its suppliers will not be liable for indirect, incidental, special, consequential or punitive damages arising from your use of, or inability to use, the Service.

This includes loss of profits, revenue, business, goodwill, opportunity, anticipated savings, data or other intangible losses, whether arising under contract, tort, including negligence, statute or otherwise.

Where you use the Service for business purposes, our total aggregate liability arising out of or relating to the Service or these Terms will not exceed the greater of:

The limitations in this section do not affect any statutory rights that you may have as a consumer.

13. Governing Law and Jurisdiction

These Terms and any dispute or claim arising from them are governed by the laws of England and Wales.

If you are a consumer residing in the United Kingdom, you may bring proceedings in the courts of the part of the United Kingdom in which you live.

If you use the Service for business purposes, the courts of England and Wales will have exclusive jurisdiction over any dispute or claim arising from or relating to these Terms or the Service.

14. Time Limits for Claims

To the extent permitted by law, any claim arising out of or relating to your business use of the Service must be commenced within one year after the claim arose.

This limitation does not apply where a different limitation period is required by law and does not restrict any mandatory rights available to consumers.

15. Contact Information

16. Suspension and Termination

We may suspend or terminate your access to the Service immediately where:

Where reasonably practicable, we will notify you of the suspension or termination and explain the reason.

You may stop using the Service at any time. You may also cancel your subscription or delete your account through the Service where those options are available.

Termination does not affect any rights, obligations or liabilities that arose before termination.

17. Severability

If any provision of these Terms is found to be unlawful, invalid or unenforceable, that provision will be treated as severed from these Terms.

The remaining provisions will continue to be valid and enforceable.

18. Entire Agreement

These Terms, together with our Privacy Policy and any additional terms expressly agreed between you and DD LABS LTD, constitute the entire agreement relating to your use of the Service.

Any additional or conflicting terms proposed in a purchase order, request, email or other document will not apply unless expressly accepted by us in writing.

19. Waiver

A failure or delay by The Table Plan or DD LABS LTD to enforce any right or provision of these Terms does not constitute a waiver of that right or provision.

Any waiver must be made in writing and will apply only to the particular circumstances for which it is given.

20. Third-Party Rights

Unless expressly stated otherwise, these Terms do not give any third party the right to enforce any provision under the Contracts (Rights of Third Parties) Act 1999.

21. Assignment

You may not assign or transfer your rights or obligations under these Terms without our prior written consent.

We may assign or transfer our rights and obligations to another organisation in connection with a sale, restructuring, merger, acquisition or transfer of the Service, provided that this does not materially reduce your rights.

22. Electronic Communications

You agree that notices, agreements, disclosures and other communications may be provided electronically, including by email or through the Service.

Electronic communications satisfy any legal requirement that communications be made in writing, except where applicable law requires another form of communication.

23. Headings

Section headings are included for convenience only and do not affect the interpretation of these Terms.

24. Service Discontinuation

24.1 What a one-time purchase gives you

Where you buy access to the Service through a one-time purchase, that access is not time-limited and does not renew. There is no subscription, and we will not ask you to pay again for the same wedding.

That access lasts for as long as we operate the Service. It is not a guarantee that the Service will be provided indefinitely.

24.2 If we discontinue the Service

If we decide to discontinue the Service, or a part of it that you have paid for, we will:

24.3 Refunds if we discontinue

If we discontinue the Service before the date of the wedding to which your purchase relates, you may request a refund of that purchase and we will refund it in full.

If that wedding has already taken place, the Service has been provided in full and no refund is due. The notice period and export rights in 24.2 still apply.

25. Effective Date

These Terms are effective from 01/08/2026.
